About the role

 

We are seeking an organised and proactive Executive Assistant to provide high-level administrative and operational support to the Executive Leadership Team, including the CEO, CFO, and Head of Ranges and Infrastructure. The role ensures smooth coordination, effective communication, and efficient management of executive priorities, while supporting broader organisational initiatives. Responsibilities include:

 

  • Diary and Calendar Management: Proactively manage and coordinate complex executive schedules, meetings, and recurring appointments, prioritising competing demands.
  • Communication Support: Draft, edit, and proofread correspondence, reports, presentations, and briefings, acting as a gatekeeper for incoming communication.
  • Meeting and Event Coordination: Organise logistics, agendas, documentation, and follow-ups for executive meetings, board sessions, and offsite events.
  • Travel and Logistics Management: Plan and manage domestic and international travel, including itineraries, documentation, and expense reconciliation.
  • Confidential Administration: Handle sensitive information with discretion and provide personal and professional administrative support to executives.
  • Stakeholder Liaison: Serve as a key contact between executives, staff, board members, and external stakeholders, facilitating communication and collaboration.
  • Task and Project Support: Assist with special projects, research, reporting, and cross-functional initiatives, monitoring deadlines and progress.

 

About you

  • Certificate, Diploma, Bachelor’s degree in Business Administration, Office Management, or related.
  • Proven experience in executive support roles, preferably supporting multiple senior executives.
  • Exceptional organisational, prioritisation, and time management skills.
  • High-level written and verbal communication skills, with attention to detail.
  • Discretion, integrity, and professionalism in handling confidential matters.
  • Proficiency with Microsoft Office Suite and digital collaboration tools.
  • Ability to work independently, anticipate needs, and take initiative.

 

This position requires you to hold and maintain a valid Australian Defence Security Clearance.
