Job Description

The Australian Cyber Collaboration Centre is a mission-driven, not-for-profit organisation that is committed to using knowledge and expertise to make cyberspace a better, and safer, place for organisations, corporations, agencies and institutions to do business – now and into the future.

 

The Executive Officer is responsible for providing comprehensive support to the CEO, Board of Directors, and other team members, and managing the organisation’s office operations. You will anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

 

Reporting to the CEO, in this critical and varied role you will:

 

  • Provide sophisticated calendar management for CEO. Prioritise inquiries and requests while troubleshooting conflicts, make judgements and recommendations to ensure smooth day-to-day engagements
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events e.g. schedule meetings, draft agendas, develop, compile, and distribute presentation materials, and record meeting minutes. Provide on the day of meeting support.
  • Manage the operational financial tasks including creating invoices, banking and credit card reconciliation, onboarding suppliers and liaising with the external accounting provider to ensure smooth reporting and processing operations.
  • Ensure that the office is well-stocked with supplies and equipment, and oversee the maintenance and upkeep of the office and shared tenancy spaces.
  • Liaison with the Lot Fourteen project team on issues related to facilities, security and general precinct matters including tours and building works.
  • Provide hospitality to all members and help to create a welcoming environment.
  • Answer main phone line and respond to inquiries.

 

To be successful in this role you will have:

 

  • Significant executive support experience, including supporting C-level executives.
  • Nonprofit experience is preferred.
  • Strong verbal and written communication skills.
  • Exceptional organisational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, and community members.
  • Make appropriate, informed decisions regarding priorities.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Exceptional work ethic and drive to succeed.
  • Comfortable working within small growing team.
